Begin with the calls you need covered
Joe Design Group’s existing website offers an AI voice receptionist from $250 per month. The intended work includes call answering, information capture, and supported appointment workflows. Confirm the actual usage, setup, integration, and support scope in writing before choosing the service.
After-hours handling and daytime overflow are different starting points. Identify the calls that may be handled automatically and those that need a person. The service should have a defined fallback; do not assume every call can be resolved without human involvement.
Use approved business information
Supply current services, actual hours, service boundaries, prices you approve, and escalation instructions. Remove old offers and unsupported promises from the source material. The assistant should say when it cannot confirm a detail rather than invent an answer.
Call-recording, retention, and regulated workflows need an appropriate business policy review. A general receptionist should not collect credentials or make professional judgments simply because it can respond in natural language.
Treat booking as its own acceptance test
Ask which calendars, appointment types, staff rules, and timezone settings are supported. Test available and unavailable times, cancellations, and out-of-hours requests. Inspect the calendar itself after a test conversation.
A request for a preferred time is different from a confirmed booking. Keep the caller’s spoken confirmation consistent with the actual integration result.
Make alerts actionable
The owner needs the caller’s name, callback number, requested service, supplied project details, source, and time. Missing details should remain marked as missing. Store the inquiry independently of notification delivery so a failed alert does not erase it.
Review who owns the callback queue and how failed deliveries are recovered. A generic “new lead” notification is not enough to act on.
Test before routing customers
- A standard inquiry with complete details.
- A corrected name or callback number.
- A request for an unsupported service or unapproved price.
- A request to speak to a person.
- A calendar conflict and an out-of-hours booking.
- A noisy or interrupted conversation.
Use labeled synthetic calls and verify the saved details and actual notification. A pleasant voice demo does not establish that the handoff works for your business.
Measure outcomes by deployment boundary
Track handled calls, completed intake, failed alerts, escalations, qualified inquiries, and confirmed bookings. If the first release covers after hours, compare that segment over similar periods. Answered calls are not automatically qualified leads.
